Terms and Conditions

1. Introduction

1.1 These Terms and Conditions ("Terms") apply to all exhibitors ("you", "your") participating in Hey Gorgeous exhibitions ("the Exhibition"), organised and managed by Hey Exhibitions Limited, trading as Hey Gorgeous, a company registered in England and Wales (Company No. 11213117) with its registered office at Victoria House, 18 Dalston Gardens, Stanmore, Middlesex, HA7 1BU ("we", "us", "our").

1.2 By signing or accepting these Terms, you confirm your agreement to be bound by them.

2. Definitions

  • Exhibition: Any Hey Gorgeous event organised by Hey Exhibitions Limited.

  • Exhibition Period: From the date of acceptance as an Exhibitor until the conclusion of the relevant Exhibition.

  • Exhibition Space: The stand allocated to you to display your goods/services.

  • Exhibition Space Fee: The total amount payable for your stand.

  • Exhibition Information Pack: Information relating to the Exhibition including set-up, timings, and venue rules.

  • Exhibitor Marks: Your logos, trademarks, and branding.

  • Opening Hours: 11:00 AM to 6:00 PM (to be confirmed).

  • Payment Schedule: The timeline and method of payment agreed between parties.

  • Total Fees: Total fees due as outlined in the Booking Form.

3. Exhibition Rights

3.1 Subject to clause 6, you are entitled to use the allocated Exhibition Space during the Exhibition to display your products/services.

3.2 We grant you a limited, non-transferable, royalty-free licence to use Hey Gorgeous branding and logos solely for the purpose of promoting your participation in the Exhibition.

3.3 We will endeavour to allocate your preferred stand location but cannot guarantee specific positioning.

3.4 You will receive an Exhibition Information Pack prior to the event.

3.5 You grant us a royalty-free, non-exclusive licence to use:

  • 3.5.1 Your Exhibitor Marks for marketing and publicity, including social media and the event website.

  • 3.5.2 Any materials you provide for your Exhibitor Listing.

4. Exhibitor Obligations

4.1 Your stand must be staffed at all times during Opening Hours.

4.2 You warrant that all exhibited materials:

  • 4.2.1 Are not obscene, defamatory or unlawful;

  • 4.2.2 Do not infringe third-party rights;

  • 4.2.3 Are not damaging to the reputation of the Exhibition or other exhibitors.

4.3 You agree to provide your branding and listing materials within five days of acceptance (or within one day if the Exhibition is less than ten days away).

4.4 We reserve the right to approve and remove any content that does not meet our standards.

4.5 Your stand must be left clean and in good order; any costs for clean-up or disposal will be charged to you.

4.6 You must comply with all applicable UK laws and venue-specific rules.

4.7 You agree to indemnify us against any costs or losses arising from a breach of these Terms.

5. Payment

5.1 You must pay the Exhibition Space Fee in accordance with the agreed Payment Schedule. Your stand will only be confirmed upon receipt of payment.

5.2 Entry to the Exhibition is conditional on full payment being received.

6. Cancellation and Alteration

6.1 To cancel, you must notify us in writing. We reserve the right to reallocate the stand immediately.

6.2 A 50% refund will be provided for cancellations made up to four weeks before the event. No refund will be given after this time.

6.3 Failure to attend or man your stand will be deemed a cancellation. Total Fees remain due and payable.

6.4 We may alter the event’s timing, date or venue, provided the event remains substantially similar. We will notify you of any changes.

6.5 If we cancel or materially change the event, you may terminate the agreement and receive a refund within 30 days.

6.6 We reserve the right to modify the floor plan or stand placement if needed.

6.7 We may cancel your participation without refund if you breach any part of this agreement.

7. Intellectual Property

7.1 All intellectual property related to the Exhibition remains our exclusive property.

7.2 We may photograph or film the event and use such content for marketing. You may use this material with credit given to Hey Gorgeous and any contributors.

8. Liability

8.1 Our total liability is limited to the Total Fees paid.

8.2 Nothing in these Terms excludes liability for death, personal injury due to negligence, or fraud.

9. General

9.1 Failure to enforce any provision does not constitute a waiver.

9.2 These Terms are governed by the laws of England and Wales. Disputes shall be subject to the exclusive jurisdiction of the English courts.

9.3 Exhibitors may only sell sealed/pre-packaged food not for on-site consumption. Ingredients and expiry dates must be clearly displayed. Free samples may be offered.

9.4 Sharing your stand with another business is not permitted. We reserve the right to cancel without refund in such cases.

10. Insurance and Risk

10.1 You are responsible for your own public liability insurance and for insuring your goods.

10.2 We are not liable for any losses or damage to property, including due to events outside our control (e.g., fire, flood, strikes, or force majeure).

10.3 No warranties or guarantees are made regarding your commercial success at the event.

11. COVID-19

11.1 If COVID-19 restrictions force cancellation, your fee will be credited to a future show.

11.2 If you are unable to attend a rescheduled event, you may request a refund when the new date is announced.

11.3 All exhibitors must comply with the health and safety guidance in effect at the time of the show.

12. Exhibitor Exclusivity Clause

To ensure a high-quality, focused experience for attendees and value for our exhibitors:

Exhibitors must not participate in any other exhibitions, pop-ups, or trade shows within a 5-mile radius of Byron Hall, for a period of three weeks before and three weeks after any Hey Gorgeous event.

This exclusivity enhances customer engagement, maximises visibility, and strengthens your return on investment.
